Keepivo includes optional AI-powered features. This disclosure explains what they do, what data they use, and their limitations — so you can decide whether to use them.
1. AI Features Overview
Keepivo uses Google Gemini AI (Gemini 2.5 Flash) for:
- Asset Scanner: analyzes photos to identify assets and extract details such as make, model, and type.
- Maintenance Suggestions: generates suggested tasks based on an asset’s information.
2. What Data Is Sent to AI
When you use an AI feature, the following may be sent for processing:
- Photos you take or select — processed and then discarded; they are not stored permanently.
- Asset details such as name, type, make, model, year, and location.
Requests are routed through a secure server-side function; your data is sent to Google Gemini only to fulfill the feature you requested.
3. AI Transparency
All AI-generated content is clearly labeled. You can edit, accept, or reject every AI suggestion before it is applied to your data. AI features are entirely optional — you can use Keepivo fully without them.
4. Google Workspace API Data
The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
Keepivo’s AI features do not receive Google Calendar or other Google Workspace API data. Keepivo does not transfer that data to Google Gemini or any other AI/ML service, and does not use it to create, train, or improve generalized or foundational AI/ML models.
5. AI Limitations
AI results may contain errors, are based on general knowledge, and should be reviewed before you rely on them. They are NOT a substitute for professional maintenance, repair, or safety advice.
