Keepivo includes optional AI-powered features. This disclosure explains what they do, what data they use, and their limitations — so you can decide whether to use them.
1. AI Features Overview
Keepivo uses Google Gemini AI (Gemini 2.5 Flash) for:
- Asset Scanner: analyzes photos to identify assets and extract details such as make, model, and type.
- Maintenance Suggestions: generates suggested tasks based on an asset’s information.
- Receipt Import: extracts a maintenance record (title, date, cost, provider) from a photo of a receipt, invoice, or work order.
- Link Enrichment: with your confirmation, retrieves one public product or manual page — for example from a QR code found during a scan — and extracts asset details from that page.
- Detail Lookup: fills additional catalog details (year, manual link, key specifications) from a make, model, or serial number you typed.
2. What Data Is Sent to AI
When you use an AI feature, the following may be sent for processing:
- Photos you take or select for scanning, including receipt or invoice photos — these can contain names, addresses, and partial payment details, so review a photo before submitting it.
- Asset details such as name, type, make, model, year, and location — and, for Detail Lookup, the serial number.
- For Link Enrichment: the URL you confirmed and the content of that page.
Requests are routed through a secure server-side function; your data is sent to Google Gemini only to fulfill the feature you requested. Photos and receipts submitted for analysis are stored in your home’s private storage only when you choose to save them to an asset or record. AI usage is rate-limited and subject to your plan’s annual allowance.
3. AI Transparency
All AI-generated content is clearly labeled. You can edit, accept, or reject every AI suggestion before it is applied to your data, and you can report a problematic AI output to us from the suggestion screens (reporting sends us that output). AI features are entirely optional — you can use Keepivo fully without them.
4. Google Workspace API Data
The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
Keepivo’s AI features do not receive Google Calendar or other Google Workspace API data. Keepivo does not transfer that data to Google Gemini or any other AI/ML service, and does not use it to create, train, or improve generalized or foundational AI/ML models.
5. AI Limitations
AI results may contain errors, are based on general knowledge, and should be reviewed before you rely on them. They are NOT a substitute for professional maintenance, repair, or safety advice.
